In our 200-Hour and 30-Hour Yin Yoga Teacher Training program, we adhere to a comprehensive Code of Conduct to ensure an ethical, supportive and enriching learning environment. This Code serves as a guiding framework for both aspiring teachers and our instructional team, fostering a culture of respect, professionalism, and dedication to the transformative practice of yoga.
Professional Integrity: As participants in this training, we commit to upholding the highest standards of professional conduct. This includes honesty, transparency, and accountability in all interactions with fellow trainees, instructors, and the broader yoga community.
Respect and Inclusivity: We value and celebrate diversity in all its forms. All individuals, regardless of background, race, gender, or belief, are treated with respect and kindness. Discrimination or exclusionary behavior is not tolerated.
Student-Centric Approach: Recognizing the importance of the teacher-student relationship, we prioritize the well-being and growth of our students. We create a safe, nurturing space for learning, encouraging questions, and providing constructive feedback.
Confidentiality: We respect the privacy of our fellow trainees and students. Personal information shared within the training environment is kept confidential, fostering an atmosphere of trust and openness.
Adherence to Curriculum: Participants commit to actively engage with and complete all aspects of the curriculum. This includes attending scheduled sessions, participating in discussions, and completing assignments to the best of their ability.
Personal Practice: Aspiring teachers are encouraged to cultivate and maintain a personal yoga practice. This commitment enhances both their understanding of the discipline and their ability to guide others on their yogic journey.
Feedback and Growth: Constructive feedback is an integral part of the learning process. Participants are encouraged to provide and receive feedback with openness, using it as a tool for personal and professional growth.
Mindful Communication: Clear and compassionate communication is essential. We strive to express ourselves authentically while listening attentively to others, fostering a positive and supportive community.
Self-Care: Recognizing the demands of the training, participants are encouraged to prioritize self-care. This includes physical well-being, emotional balance, and a commitment to maintaining a healthy work-life balance.

1.Student and staff Code of Conduct Policy
At Grass Roots, we are committed to creating a positive and enriching learning environment for both students and staff. The following Code of Conduct outlines the principles and standards that guide our interactions, ensuring an ethical, respectful, supportive, and transformative experience for all.
For Students:
Commitment to Learning: As a student, I am committed to actively participating in all aspects of the yoga teacher training program. This includes attending classes, engaging in discussions, and completing assignments with dedication and enthusiasm.
Respect for Diversity: I will honor and respect the diverse backgrounds, experiences, and perspectives of my fellow students and instructors. Discrimination, judgment, or any form of exclusionary behavior will not be tolerated.
Teacher-Student Relationship: I understand and acknowledge the importance of the teacher-student relationship. I will approach this dynamic with openness, trust, and a willingness to learn and grow. I will not enter into dual relationships with teaching staff or future students (e.g. business, close personal or sexual relationships) that may compromise the integrity of the teachings and/or use the relationship for their personal gain.
Confidentiality: I will maintain the confidentiality of personal information shared by my peers and instructors during the course. This commitment fosters an atmosphere of trust and mutual respect.
Mindful Communication: I will communicate with clarity, kindness, and respect. Constructive feedback is encouraged, and I will approach it with an open mind, using it as an opportunity for personal growth.
Self-Care: Recognizing the intensity of the training, I commit to prioritizing self-care. This includes attending to my physical, mental, and emotional well-being and seeking support when needed.
For Staff:
Professional Conduct: As a staff member, I commit to upholding the highest standards of professionalism. This includes leading classes and sessions with integrity, transparency, and a commitment to the well-being of the students.
Inclusivity: I will create an inclusive and welcoming environment for all students, acknowledging and respecting their diversity. Discrimination or any form of exclusionary behavior is strictly prohibited.
Feedback and Growth: I will provide constructive feedback to students with the aim of supporting their development. I will also be open to receiving feedback from both students and colleagues, recognising it as an opportunity for continuous improvement.
Confidentiality: I will respect the privacy of students and fellow staff members, maintaining the confidentiality of personal information shared within the context of the training.
Role Modelling: As a staff member, I will serve as a positive role model for students, embodying the principles and practices of yoga on and off the mat. I I will not enter into dual relationships with students (e.g. business, close personal or sexual relationships) that may compromise the integrity of the teachings and/or use the relationship for their personal gain.
By adhering to these principles, we collectively contribute to a harmonious and uplifting community, fostering an environment that nurtures personal and professional growth for all involved in the yoga teacher training program at Grass Roots.
2. Complaints policy
At Grass Roots Yoga YTT, we are dedicated to providing a positive and respectful learning environment for our students. We understand that concerns or complaints may arise, and we are committed to addressing them promptly and fairly. The following policy outlines the process for raising and resolving complaints within our Yoga Teacher Training program.
1. Definition of a Complaint:
A complaint is defined as an expression of dissatisfaction or concern related to any aspect of the 200hr Yoga Teacher Training program, including interactions with staff, instructors, or fellow students.
2. Reporting a Complaint:
Students are encouraged to submit complaints in writing to the Program Director or designated complaint officer. Complaints can be submitted via email or in-person, ensuring confidentiality and privacy.
3. Anonymous Complaints:
While we encourage individuals to identify themselves when raising a complaint, anonymous complaints will be accepted. However, it is important to note that the investigation and resolution process may be limited in the absence of specific details.
4. Complaint Resolution Process: a. Receipt of Complaint: - Upon receiving a complaint, the Program Director or designated complaint officer will acknowledge the receipt within 3 days.
b. Investigation: - An impartial investigation will be conducted to gather relevant information. This may involve interviews with involved parties and a review of relevant documents.
c. Resolution: - The Program Director or designated complaint officer will communicate the resolution of the complaint to the complainant within [specified timeframe]. If additional time is needed for a thorough investigation, the complainant will be informed of the delay.
5. Appeal Process:
If the complainant is dissatisfied with the resolution, they may appeal the decision. The appeal should be submitted in writing to Sally Murchie within 5 days.
6. Record Keeping:
All complaints and their resolutions will be documented and securely stored for a period of 12 months. This information will be used for continuous improvement purposes and to address any recurring issues.
7. Confidentiality:
Every effort will be made to handle complaints with discretion and respect for the privacy of those involved. Information related to complaints will only be shared with individuals directly involved in the resolution process.
8. Non-Retaliation:
No individual who submits a complaint in good faith will face retaliation. Retaliation against any person who raises a complaint is strictly prohibited.
This Complaints Policy is designed to ensure a fair and transparent process for addressing concerns within our 200 Hr Yoga Teacher Training program. We encourage open communication and constructive feedback to enhance the overall experience for all participants.
3. Deferment of Course Policy
1. Eligibility for Deferment:
Participants may request deferment of their Yoga Teacher Training course due to unforeseen circumstances such as medical issues, family emergencies, or other significant life events.
2. Request Submission:
Deferment requests must be submitted in writing to the Program Director or designated deferment officer. The request should include details of the circumstances and supporting documentation when possible.
3. Approval Process:
Deferment requests will be reviewed by the Program Director or designated officer. Approval is contingent upon the nature of the circumstances and the documentation provided.
4. Duration of Deferment:
Approved deferments may be granted for a specified duration, allowing the participant to resume the course at a later date. The duration and conditions will be outlined in the approval notification.
5. Deferment Fee:
A deferment fee may be applicable to cover administrative costs. The fee amount and payment details will be communicated to the participant upon approval of the deferment request.
6. Rejoining the Course:
Participants granted deferment will be provided with information on the process for rejoining the course, including any updates or changes to the curriculum during their absence.
7. Deferment Limitations:
Deferment may be granted for a specific number of course sessions or within a certain timeframe. Participants exceeding these limits may be required to re-enroll in a subsequent training program.
8. Refund Policy:
Deferment does not automatically entitle the participant to a refund. Refund policies will be applied as per the terms outlined in the initial enrollment agreement.
9. Communication:
Participants will be notified of the decision on their deferment request in a timely manner, with clear instructions on the next steps.
10. Program Changes:
In the event of any changes to the Yoga Teacher Training program during the deferment period, participants will be informed of modifications to the curriculum or schedule.
This Deferment Policy is designed to address unforeseen circumstances and provide a fair and transparent process for participants in our Yoga Teacher Training program.
4. Expulsion policy
1. Grounds for Expulsion:
Participants may face expulsion from the Yoga Teacher Training program for serious violations, including but not limited to:
Academic dishonesty.
Disruptive behavior that compromises the learning environment.
Harassment or discrimination towards peers, staff, or instructors.
Failure to adhere to the Code of Conduct.
2. Investigation Process:
Upon receiving reports or observing behavior warranting investigation, the Program Director or designated officer will initiate a thorough and impartial investigation.
3. Notification:
If expulsion is being considered, the participant will be formally notified of the allegations and provided an opportunity to present their perspective.
4. Decision-Making:
The decision for expulsion will be made based on the findings of the investigation and the severity of the violation. The decision will be communicated to the participant in writing.
5. Appeal Process:
Expelled participants have the right to appeal the decision within a specified timeframe. The appeal should be submitted in writing to the Program Director or designated appeals officer.
6. Immediate Expulsion:
In cases of severe misconduct posing an immediate threat to the safety or well-being of others, the Program Director reserves the right to implement immediate expulsion pending a formal investigation.
7. Refund Policy:
Expulsion does not automatically entitle the participant to a refund. Refund policies will be applied as per the terms outlined in the initial enrollment agreement.
8. Academic Records:
In the event of expulsion, academic records and achievements up to the point of expulsion will be maintained. However, the participant will not receive certification for completion of the Yoga Teacher Training program.
9. Communication to Stakeholders:
The decision to expel a participant will be communicated to relevant stakeholders, including staff, instructors, and other participants, as deemed necessary.
10. Confidentiality:
All aspects of the expulsion process will be handled with confidentiality and discretion, respecting the privacy of the individuals involved.
This Expulsion Policy is implemented to maintain the integrity and safety of our Yoga Teacher Training program, ensuring a conducive learning environment for all participants.
5. Refund policy
1. Refund Eligibility:
Participants are eligible for a refund of the Yoga Teacher Training program fees under the following circumstances:
Withdrawal at least 2 weeks before the program commences.
Inability to continue participation due to documented medical reasons.
Other exceptional circumstances reviewed on a case-by-case basis.
2. Withdrawal Before Program Commencement:
A full refund, minus any non-refundable deposit, will be provided if the participant withdraws from the program 2 weeks before the scheduled start date.
3. Withdrawal During the Program:
Refunds for withdrawals during the program will not be provided.
4. Medical Withdrawal:
In cases of withdrawal due to documented medical reasons, a prorated refund will be considered based on the percentage of completed sessions, minus any non-refundable deposit and administrative fees.
5. Requesting a Refund:
Participants must submit a written refund request to the Program Director or designated refund officer. The request should include details of the circumstances and any supporting documentation.
6. Non-Refundable Deposit:
A non-refundable deposit, as outlined in the enrollment agreement, will be retained in all cases, including withdrawals before the program starts.
7. Administrative Fees:
In certain cases, a reasonable administrative fee may be deducted from the refund amount to cover processing costs.
8. Refund Timeline:
Refunds will be processed within 1 month from the date of receiving the written refund request.
9. No-Show Policy:
Participants who do not attend any sessions without formal withdrawal notification will not be eligible for a refund.
10. Appeals:
Participants dissatisfied with the refund decision may submit a written appeal to the Program Director or designated appeals officer within a specified timeframe.
This Refund Policy aims to provide clarity and fairness in handling refund requests for our Yoga Teacher Training program, recognising the unique circumstances that may necessitate withdrawal or the training may have to be cancelled.
6. Cancellation Policy
1. Cancellation by the Grass Roots School:
In the rare event that the Yoga Teacher Training course is canceled by the school due to unforeseen circumstances, participants will be provided with a full refund of any fees paid.
2. Minimum Enrolment Requirement:
The Yoga Teacher Training course is contingent upon reaching a minimum of 8 enrolments. If this threshold is not met within 10 business days of the course commencing, Grass Roots reserves the right to cancel the course. In such cases, participants will be notified in advance, and a full refund will be issued.
3. Participant Cancellation:
If a participant decides to cancel their enrolment in the Yoga Teacher Training course, the following refund policy will apply:
Cancellation before 14 business days of course commencing: Full refund, minus any non-refundable deposit.
Cancellation within 14 - 1 business day before commencement: As per refund eligibility detailed above.
4. Non-Refundable Deposit:
A non-refundable deposit, as outlined in the enrolment agreement, will be retained in all cases, including participant-initiated cancellations.
5. Requesting a Refund:
Participants must submit a written cancellation request to the Program Director or designated cancellation officer. The request should include details of the circumstances and any supporting documentation.
6. Administrative Fees:
In certain cases, a reasonable administrative fee may be deducted from the refund amount to cover processing costs.
7. Refund Timeline:
Refunds will be processed within 1 month from the date of receiving the written cancellation request.
